As soon as your venue is secured, SAMKOMA will present you with accommodation options for you and your guests. We handle setting up hotel room blocks, and also organize and design any welcome bags or boxes that you may want dropped off at these hotels.

While it can be tedious initially, once completed, having an organized guest list sets everyone up for a super organized planning process — as we refer back to your guest list numerous times throughout the planning process.

Aisle Planner is our online planning platform that keeps everything super organized and reminds you when each payment to each supplier is due. Think of this as a super organized “apple store” vibe for all of your wedding details along the way. Our team will get you set up on AislePlanner and can provide access to your AislePlanner profile for up to 3 people.

Our wedding websites are password protected to ensure privacy pertaining to your event and include a custom URL (example: theramirezsmithwedding.com).

Your wedding website will be utilized as a landing page for your guests to RSVP, view your registries, see important wedding weekend information including schedule, as well as any other details you would like to add.

As soon as your venue is secured, we recommend photographers and videographers that would compliment the tones and colors of the space you select. Because photographers and videographers book out further and faster than most supplier categories, we always encourage our clients to secure these two suppliers while still in Phase 1 of their planning process.

We kindly require that your photographer and videographer be approved by SAMKOMA prior to securing them.

We will discuss your overall budget, how many different events you may be wanting to include in your wedding weekend, and which supplier categories are most important to you personally.

While some of our clients don’t have budget restrictions, we kindly require that you give our team a starting point. This sets us up for an organized initial budget outline.

SAMKOMA has amazing relationships with some of the best designers in the wedding industry. While you don’t have to wait until your venue is secured before purchasing your dress and suit, we always encourage it, so that your attire can also be cohesive and complimentary with its surroundings.

Additionally, we have great recommendations for bridesmaid and groomsmen attire.

As our team begins to come to the end of Phase 1, we discuss all supplier categories that we anticipate needing to ensure your event is perfect.

We work with some of the best and most creative paper teams in the world. After speaking with each couple about their paper needs, we will present you with a couple of different options until we find the perfect fit for you. SAMKOMA will assist in designing and curating your Save The Dates, Invitations, Programs, Menus, Name Cards, Table Numbers, Seating Chart Signage and any other paper needs that you might have!

While we require that you pay each of your suppliers directly, it’s our job to connect you with all of them. We have great relationships with amazing suppliers who will do an exceptional job executing your event. Our team collects pricing and availability for each supplier category, and then sends this information to you to approve.

While we always want to present competitive pricing for each vendor category, our company also sees value in the products and services each supplier is providing and we always want to ensure that the suppliers we secure, are going to deliver the quality work expected of them.

All suppliers must be licensed and insured and approved by both client and by SAMKOMA.

Supplier categories that are included in our scope of work are: lighting, draping, catering, cake and desserts, bar and beverage, staffing, beauty, rentals, florals, entertainment, and transportation. Additional supplier categories may be required depending on the caliber of your event.

SAMKOMA adds a 10% sourcing fee to all supplier invoices secured for the wedding or event. This small fee covers all communication, organization and logistics for each supplier throughout the planning process and will be paid by the client along with their final installment.

SAMKOMA sets up appointments and in-person meetings over the course of a couple days. Should you not live in the same city as where your event is taking place, we can typically cover the majority of our in person meetings over the course of 2 weekdays.

Outside of decision days, a member of our team will be present at meetings where our presence and knowledge are needed or requested by the client.*

Decision Days are not a requirement and for far away destinations, this isn’t always feasible or needed, but we do offer this option should the client deem it necessary.

Unless requested otherwise by the client, we encourage our couples to utilize their custom website for RSVPs. Not only is this environmentally conscious, but it allows for responses to be recorded accurately, with no chance of getting lost in the mail.

Our team refers back to your guest list to enter in responses and dietary restrictions. We also filters any questions that are sent over that we can answer on your behalf such as the weekend schedule, or the attire for your wedding.

You can access your guest list online as often as you would like to, to see in real time, who has RSVPd so far.

After our team receives your final headcount for each event, we communicate these final counts to all supplier categories that request them including, but not limited to: rentals, bar and beverage and catering.

Additionally we will communicate with each of your suppliers to ensure that all vendor-required meals are accounted for.

SAMKOMA sends each client a PDF for them to write the names of their guests on each seat of the layout to ensure every guest has a seat, and no one is overlooked.

SAMKOMA works with your caterer to ensure that all dietary restrictions are acknowledged and communicated, ensuring your guests peace of mind.

SAMKOMA requires a minimum of 10 seats and place settings to be included over your confirmed guest count. This accounts for breakage and for guests who may bring an unexpected date.

If you are providing transportation services for your guests, we will source this for you based on your final guest count.

Transportation needs include: guest shuttles and transportation, getaway cars and any other transportation requested by the couple. If you want to arrive by helicopter, that’s always an option too!

SAMKOMA curates a custom timeline for your wedding weekend that covers every detail including all load-in and load-out logistics, photography and videography timelines, and overall weekend itinerary.

This master timeline is inclusive of all vendor required information, and is distributed to all suppliers prior to your wedding weekend.

We love having one final meeting either virtually or in person, before the wedding or event takes place. We want you to have total peace of mind going into your event, so we use this meeting to review the timeline and answer any questions you may have.

From the first vendor load in, until the last vendor load out, the SAMKOMA team will be on site to oversee the entire production and to ensure that everything is placed just as it’s been presented and discussed.

We will be on site to keep the day on schedule, and to help everyone feel as peaceful, calm and stress free as possible.

At the end of your wedding, our team loads any gifts, cake and remaining personal items into your vehicle in an effort that you and your families don’t lift anything or have to work on your day.

The day is all about you, and we want you to feel that from the beginning, until we wave goodbye at the end of your evening.
